Approve Quotation No. 2024-463459 with Varian Medical Systems, Inc. for the purchase of a TrueBeam Radiotherapy System in the amount of $3,760,646.

FINANCIAL IMPACT
Approval of the item will not result in the use of Discretionary General Funding (Net County Cost). The cost of the equipment, in the amount of $3,760,646, is funded by the Arrowhead Regional Medical Center (ARMC) Linac Replacement Project (WBSE 10.10.1475) (Project) budget of $8,490,773. ARMC will continue to make contributions towards the Project as funds become available. The Project was previously approved by the Board of Supervisors (Board) as part of the 2024-25 Capital Improvement Program (CIP) Budget on June 11, 2024 (Item No. 110).
BACKGROUND INFORMATION
The purchase of this TrueBeam Radiotherapy System will replace the current equipment purchased in 2010 which was deemed end-of-life in May 2024. With the end-of-life status it will be increasingly difficult to source parts and service and will not allow for system upgrades.
Radiotherapy is a cancer treatment that uses high doses of radiation to kill cancer cells and shrink tumors. The new state of the art system will help by increasing treatment speed, comfort, and radiation precision while striving to improve cancer outcomes for county residents.
ARMC recommends approval of Quotation No. 2024-463459 with Varian Medical Systems, Inc. (Varian), for the purchase of the TrueBeam Radiotherapy System to treat cancer patients. The new radiation therapy equipment will provide for the safety, health, and radiation therapy services for the residents of the county.
PROCUREMENT
Purchasing supports this non-competitive procurement based on functional specifications. The structural foundation that the equipment sits on is a proprietary diameter turntable style. The base frame is only compatible with Varian equipment.
