Approve Amendment No. 3 to Software Subscription License Agreement No. 21-416 with The CBORD Group, Inc., to license software for meal planning for hospital patients, increasing the contract amount by $48,451, from $210,276 to $258,727, and extending the term for one year for a total contract period of July 1, 2021 through June 30, 2026, with the option to renew for one additional one-year period, upon mutual agreement of the parties.

FINANCIAL IMPACT

Approval of this item will not result in the use of Discretionary General Funding (Net County Cost).  The cost of $48,451 is funded by State Medi-Cal, Federal Medicare, private insurances, and other departmental revenue. Funding sources may change in the future pending any legislative activity related to the repeal and/or replacement of the Affordable Care Act. Adequate appropriation and revenue have been included in the Arrowhead Regional Medical Center (ARMC) 2024-25 budget and will be included in future recommended budgets.

 

BACKGROUND INFORMATION

Approval of Amendment No. 3 (Amendment) to Agreement No. 21-246 (Agreement) with The CBORD Group, Inc. (CBORD) will allow ARMC to continue to provide quality nutrition care for patients. The software program is integrated with ARMC’s electronic health record system, Epic, and helps manage patient meals and meet regulatory compliance for therapeutic diets. The software program helps to ensure patients will receive meals according to their diet order, allergy restrictions, and personal food preferences. ARMC is a 456-bed hospital and will rely on the CBORD software to manage hundreds of daily patient meal orders and ensure patient safety.

 

On June 8, 2021 (Item No. 16), as the result of a non-competitive procurement, the Board of Supervisors (Board) approved the Agreement with CBORD for the provision of software that will allow for the planning of meals according to the patient’s diet order, allergy restrictions, and personal food preferences, in the amount of $56,797, for a total contract period of June 8, 2021 through June 7, 2024.

 

On May 4, 2022 (Item No. 16), the Board approved Amendment No. 1 to the Agreement to license software for processing cafeteria payment transactions and patient nutrition management, increasing the amount by $98,813, from $56,797 to $155,610, with no change to the contract period of June 8, 2021 through June 7, 2024.

 

On June 11, 2024 (Item No. 23), the Board approved Amendment No. 2 to the Agreement to license software for meal planning for hospital patients, increasing the contract amount by $54,666, from $155,610 to $210,276, and correcting the term of the Agreement to commence on July 1, 2021 and continue in effect until June 30, 2025, with the option to renew for two additional one-year periods, upon mutual agreement of the parties.

 

ARMC was advised that the term of the Agreement began on the first day of the month following the effective date. The effective date of the Agreement was June 8, 2021, which meant that the actual contract term began July 1, 2021 and remains in effect through June 30, 2024.

 

ARMC recommends approval of this Amendment with CBORD as it will provide for the safety, health and social needs of County residents through the management of patient-specific menus and nutrition care at the hospital.
