RECOMMENDATION(S)

Recommendation

Approve Amendment No. 1 to Software Subscription License Agreement No. 21-416 with CBORD Group, Inc., to license software for processing cafeteria payment transactions and patient nutrition management, increasing the contract by $98,813, from $56,797 to $155,610, with no change to the contract period of June 8, 2021 through June 7, 2024.

FINANCIAL IMPACT

Approval of this item will not result in the use of Discretionary General Funding (Net County Cost). The additional cost of $98,813 is funded by State Medi-Cal, Federal Medicare, private insurances, and other departmental revenue. Funding sources may change in the future pending any legislative activity related to the repeal and/or replacement of the Affordable Care Act.  Sufficient appropriation and revenue are included in the Arrowhead Regional Medical Center (ARMC) 2021-22 budget and will be included in future recommended budgets.

 

BACKGROUND INFORMATION

Approval of the amendment with CBORD Group, Inc. (CBORD) will allow ARMC to continue to provide quality nutrition care for patients, hospital guests, and hospital staff. The software program helps ARMC staff manage patient meals and meet regulatory compliance for therapeutic diets. The software program helps to ensure patients will receive meals according to their diet order, allergy restrictions, and personal food preferences. The software also provides payment processing in the ARMC cafeteria. The initial funding allocation was sufficient to cover costs to integrate and move the CBORD software through ARMC’s electronic health record system transition from Meditech to Epic. This amendment increases the contract amount to cover the second and third years of the Agreement. The Amendment also confirms agreement between the parties that there are 12 workstation licenses included in the Software Subscription Agreement. 

 

ARMC recommends approval of the amendment with CBORD as it will provide for the safety, health and social needs of County residents through the management of cafeteria payment processing and patient nutrition care at the hospital.

 

PROCUREMENT

Purchasing continues to support this non-competitive procurement based on an existing agreement as CBORD is the current vendor for ARMC Nutrition’s cafeteria and patient meal operations. CBORD is also the only third-party vendor licensed with ARMC’s new electronic health record system, Epic, for management of patient meals.
