Recommendation

Approve Amendment No. 6 to Agreement No. 20-1115 with Avante Health Solutions for preventative maintenance and service of ultrasound equipment, to increase the agreement amount by $173,210, from $814,218 to $987,428, and to extend the term for one year for a total term of December 5, 2020 through December 4, 2026.

FINANCIAL IMPACT

Approval of this item will not result in the use of Discretionary General Funding (Net County Cost). The cost of $173,210 is funded by State Medi-Cal, Federal Medicare, private insurance, and other departmental revenue. Funding sources may change in the future pending any legislative activity related to the repeal and/or replacement of the Affordable Care Act. Adequate appropriation and revenue have been included in the Arrowhead Regional Medical Center (ARMC) 2025-26 budget and will be included in the 2026-27 recommended budget.

 

BACKGROUND INFORMATION

Amendment No. 6 (Amendment) to Agreement No. 20-1115 (Agreement) will extend the term by one-year and increase the total agreement amount to ensure preventative maintenance and service of ultrasound equipment continues to occur every six months while ARMC completes a new competitive procurement process for a new contract for these services.

 

On November 17, 2020 (Item No. 22), as the result of informal bids, the Board of Supervisors (Board) approved the Agreement with Avante, in the amount of $329,000, for the preventative maintenance and service of ultrasound equipment, for the term of December 5, 2020 through December 4, 2025.

 

On May 4, 2021 (Item No. 9), the Board approved Amendment No. 1 to the Agreement to add additional ultrasound equipment and to increase the contract amount by $155,190, from $329,000 to $484,190, with no change to the Agreement term.

 

On August 23, 2022 (Item No. 5), the Board approved Amendment No. 2 to the Agreement to add additional ultrasound equipment, and to increase the contract amount by $92,143, from $484,190 to $576,333, with no change to the Agreement term.

 

On April 11, 2023 (Item No. 12), the Board approved Amendment No. 3 to the Agreement to add additional ultrasound equipment and to increase the contract amount by $26,260, from $576,333 to $602,593, with no change to the Agreement term.

 

On June 11, 2024 (Item No.18), the Board approved Amendment No. 4 to the Agreement to add additional ultrasound equipment and to increase the contract amount by $61,625, from $602,593 to $664,218, with no change to the Agreement term.

 

On March 25, 2025 (Item No. 9), the Board approved Amendment No. 5 to the Agreement to increase the contract amount by $150,000 from $664,218 to $814,218, to account for repair services and parts for the equipment, with no change to the Agreement term of December 5, 2020 through December 4, 2025.

 

ARMC recommends approval of this Amendment as it will ensure the hospital remains compliant with The Joint Commission for accreditation requirements relating to the maintenance of ARMC ultrasound equipment for the health and safety of county residents.
