Recommendation
Approve Amendment No. 1 to Contract No. 23-302 with Presidio Networked Solutions Group, LLC, for the purchase and installation of audio-video conferencing equipment, with no change to the not to exceed amount of $497,327.87, extending the contract period for one year for a total contract period of May 1, 2023 to June 30, 2024.

FINANCIAL IMPACT
This item does not impact Discretionary General Funding (Net County Cost). The cost of the contract with Presidio Networked Solutions Group, LLC (Presidio) will not exceed $497,327.87 and is funded through the annual State Department of Child Support grant funding. Adequate appropriation and revenue have been included in the Department of Child Support Services’ (DCSS) 2022-23 and 2023-24 budgets.
BACKGROUND INFORMATION
DCSS is in the process of replacing obsolete audio-video equipment with new audio-video conferencing equipment to provide connectivity to various video conferencing platforms in DCSS facilities located in Loma Linda, Ontario, and Victorville.
On May 16, 2023, Presidio notified DCSS that multiple components of the audio-video conferencing equipment will not be available until later this year or early next year due to supply chain issues. Manufacturers of the audio-video conferencing equipment have notified Presidio it will take at least six months to provide the equipment. Due to this delay, DCSS anticipates completion of the project in early 2024.
Contractor performance will be monitored by County staff to ensure compliance with the administrative, program, and fiscal terms and conditions of the contract. Additionally, DCSS staff will directly monitor equipment installation. DCSS will review invoices and other documents submitted by the contractor to ensure charges are for eligible services prior to payment. The contract may be terminated by the County immediately in the event funds are not available to the County and without cause by the County by serving a written notice to the contractor 30 days in advance of termination.
PROCUREMENT
On April 25, 2023 (Item No. 22), as the result of a formal procurement, the Board of Supervisors approved Contract No. 23-302 with Presidio for the purchase and installation of audio-video conferencing equipment, in an amount not to exceed $497,327.87. The contract period was for May 1, 2023 through June 30, 2023, with the provision to extend the contract period of two additional six-month periods by mutual agreement of both parties. Installation was anticipated to be completed by June 30, 2023.
