RECOMMENDATION(S)
Recommendation
1. Approve the purchase of one mobile LED screen to be used for viewing events, from MUSCO Sports Lighting, in the amount of $157,659.97.
2. Authorize the Auditor-Controller/Treasurer/Tax Collector to post the necessary budget adjustments as detailed in the Financial Impact section (Four votes required).

FINANCIAL IMPACT
Approval of this item will result in the use of Discretionary General Funding (Net County Cost). The amount of $157,659.97 will allow the Regional Parks Department (Department) to purchase one mobile LED screen (Screen) to be used for a variety of Department and other County department events.

BACKGROUND INFORMATION
The recommended Screen can be utilized for a multitude of events, not just park events. The Screen would help to create long-term value for future events hosted by the Department and other County departments. This investment will enhance community engagement, improve event quality, and serve as a shared resource across multiple programs and initiatives.
In addition to park-related programming, other departments could leverage this equipment for community outreach events, public information campaigns, emergency response briefings, outdoor movie nights, health and wellness initiatives, and cultural or civic celebrations. This investment will enhance community engagement, improve event quality, and serve as a shared resource across multiple programs and initiatives across the county.

The Department solicited three informal bids for mobile LED screens, receiving three quotes:

After reviewing the submittals, the Department determined that MUSCO Sports Lighting provided the most economical option and best met the needs of the County.
Informal quotes were solicited in lieu of performing an Invitation to Bid due to time constraints. The upcoming summer programming required an accelerated procurement approach to ensure timely coordination and execution, due to short delivery timelines and a limited number of available providers for mobile screens.
The Purchasing Department supports this competitive procurement based on this information.
